The CCTV User Group & NASCAM take compliance and data protection seriously. We are dedicated to working closely with our Members, partners, customers and Data Controllers to ensure we meet our obligations as a Processor and data protection advocate. Through 'Wix' (our CCTV User Group & NASCAM website provider) we partner with industry-leading privacy and compliance experts.

In response to the GDPR regulations that came into effect 25 May 2018, we have already contacted all of our Members & customers to give an assurance that in line with our GDPR policy, we treat data security as a serious matter and confirm that all information supplied by you and your company is held securely and processed only as and when necessary.

Your company information is held on a server in an encrypted format. The information can be accessed by office staff employed by The CCTV User Group Limited. The programs and devices we use are all password protected.

Any data we hold about our Members & customers does not include any special types of information, we hold the business name, address, email & phone numbers of our members, subscribers and customers.  
 
We will use the information we hold to help identify you or your membership account with us, to invoice you, and to either allocate payments or to contact you regarding future business.

The CCTV User Group Limited will assist you, the Data Controller, in meeting the GDPR obligation to the security of processing and is committed to notifying you of any data breaches.

Security of Wix's Sign Up Services and User Information

Wix values the security of our customers' information and we do everything in our power to protect it. 
Wix contracts security consultants to ensure the security of our user information. They perform regular security audits and infiltration testing to maintain our ISO/PCI security certifications. Any issues that are reported to our security team or raised during security audits these are resolved as soon as possible
  • Wix encrypts databases containing sensitive information, according to PCI standards, to add additional protection of personally identifiable information. Our encryption methods render this information unreadable without a cryptographic key. ​
  • Wix has a multiple layer security architecture to help protect against 0-day security issues. 
  • Wix's signup and login services are completed through a secure server. The information provided to Wix in the signup process is secured via HTTPS/ SSL communication.
 
  • Wix uses cryptography hash functions to protect your information. Your password is stored as a hash digest and, in the event of a security breach, your original password cannot be recovered from our servers.

Membership - Terms and Conditions

CCTV User Group Ltd. /NASCAM - Terms and Conditions of Membership

When you join the NASCAM (CCTV User Group) as a "member", you are subscribing to a service from CCTV User Group Ltd., a privately owned organisation. The word "member" or "membership" refers to your subscription or your status as a subscriber to the service.

These terms and conditions form the basis of the contract through which CCTV User Group Ltd. will deliver the service. On subscribing you agree to these terms and conditions and you are providing us with the appropriate consent to handle your personal information in accordance with the UK Data Protection Act.

General users - visitors to the CCTV user group website 
CCTV User Group Ltd. does not collect any personal information from casual users visiting and browsing its website. Only aggregate data such as the number of visits per page are collected. Aggregate data are only used for internal and marketing purposes and do not provide any personally identifying information.

CCTV User Group Ltd. is the Data Controller and Data Processor of any personal data you supply. The personal data you supply will be used to process your application for membership, application for services, newsletter or information subscription or your application to become a business partner.

The data collected by the CCTV User Group Ltd. through its website will be used for: marketing communications; statistical and analytical purposes; to improve our own web content; to develop new products and services and to administer membership.

The CCTV User Group Ltd. may monitor the usage of its website by members whilst respecting the privacy of its members. Additionally, makes member contact information available through its Membership Directory to other members using its website & portal and to those who register for its conferences or other events. Data disclosures to third parties

CCTV User Group Ltd is committed to protecting privacy and personal data of its members, subscribers, and other event delegates / exhibitors. 

CCTV User Group Ltd is funded by membership fees, events, and other product services and by business partners & commercial providers of related products and services.

 

The CCTV User Group Ltd. does not provide member or subscriber data to these partners except for information that is made available when purchasing a ticket (online or a physical event) via our website or by any other means .

On occasions, CCTV User Group Ltd may provide data to third parties that offer products and services used for registering for our events. This data may include names, job titles, organisation name and business addresses, and may, at times,  include phone numbers & e-mail addresses. CCTV User Group Ltd. may send such data to our partners, and they may be outside the European Economic Area for data processing.

CCTV User Group Ltd. may disclose member personal data if required to do so by law or if CCTV User Group Ltd believes that such action is necessary: to comply with legal requirements; or to act under circumstances to protect the safety or security of its members.

Member opt out
Membership communication will be in the form of email, digital online content & media & sometimes, by telephone. 


Members can update their preferences on their online profile and select which communication methods they do not wish to be contacted by and which type of emails or other communications they wish to receive (newsletters, blog alerts, etc.)

 

Conditions of membership - Right to refuse applications 

Once a person submits an application, it is reviewed by the CCTV User Group Ltd team. If approved, the applicant receives an automated welcome message as a new member with login details into the member area of the CCTV User Group Ltd website. Applicants who are not approved will be contacted by CCTV User Group Ltd individually: either with a request for further information or informing the applicant that their request to become a member has been declined.

 

User Group Ltd. decision to decline an application to join. 

CCTV User Group Ltd. reserves its right not to fulfil or to cancel a member application or membership at anytime. 


If a member is accepted into CCTV User Group Ltd. / NASCAM membership and subsequently it turns out that any or all of the information they provided was misleading or false: CCTV User Group Ltd. / NASCAM reserves its right to revoke the membership with immediate effect, without the right of appeal.

Conditions of membership - Membership period
In general, membership runs for 12 consecutive months from the date when a member has applied, their application has been approved and any fees due are paid.

Free membership: Subscriber
Members subscribed to this type of membership will not be subject to a standard renewal process whilst this type of membership is in place. Members subscribed to free membership will receive a notification from CCTV User Group Ltd. / NASCAM requesting and reminding them to update their member profile.

Members are reminded to keep their profile and preferences up-to-date so they receive the most suitable communications from CCTV User Group Ltd..

Conditions of membership - Membership cancellation 

A member of CCTV User Group & NASCAM who has subscribed to CCTV User Group & NASCAM membership can cancel their membership anytime by contacting CCTV User Group & NASCAM in writing at membership@cctvusergroup.com

Members who cancel their membership are removed from membership list with effect from the date on which their resignation is received by CCTV User Group Ltd. and all their member benefits and rights cease at that time.

Conditions of membership - Members' obligations
CCTV User Group Ltd. expects of its members the highest standards of dignity, fairness and integrity. These values and expectations form the basis of the manner in which members are requested to abide. Our values are published on our website and we expect our members to share these values. If it is found that a member does not share our values, we may decide to terminate their membership.

Code of Conduct
CCTV User Group Ltd. Members will abide by the code of conduct, which is published on the Members website.

Events
Members may be invited to events organised by CCTV User Group Ltd. or by its partners if such events are considered to be of value and benefit to members as eg educational and networking opportunities. Our events may be subject to separate terms and conditions. Please check these at the time of booking.

Prize Draw and Competition Rules
All prize draws and competitions which are associated with CCTV User Group Ltd. offers are subject to separate terms and conditions, as written at the time of the prize draw, competition or offer. Prize draws are not open to employees of CCTV User Group Ltd. These terms and conditions override any contrary terms or conditions published by CCTV User Group Ltd. in relation to any membership subscription between members and CCTV User Group Ltd.

Price Information
Any fees displayed on the CCTV User Group Ltd. / NASCAM website are subject to change without notice. 


We reserve the right to increase the price of products and services on regular basis. If this would be related to services subscribed by existing members, members will be informed in advance.

Governing law and jurisdiction
These terms and conditions are governed by English law. You hereby irrevocably submit to the exclusive jurisdiction of the English courts notwithstanding the jurisdiction where you are based.

If any court or competent authority decides that any of the provisions of these terms are invalid, unlawful or unenforceable to any extent, the term will, to that extent only, be severed from the remaining terms, which will continue to be valid to the fullest extent permitted by the law.


A person who is not party to these terms shall not have any rights under or in connection with them under the Contracts (Rights of Third Parties) Act 1999.

Liability

Liability for 3rd parties: CCTV User Group Ltd. liability to its members will not extend to any membership related benefits, goods or services provided by an external provider. CCTV User Group Ltd. specifically excludes liability for any loss or damage suffered by a member as a result of her/his involvement in whatever manner with an external provider.

Accuracy of CCTV User Group Ltd. information: Reasonable effort is made to ensure the accuracy of information provided on our websites, in newsletters, and any other publications; however, neither we nor the authors can accept liability for errors and omissions within its publications.

CCTV User Group Ltd./ NASCAM Website: 
The CCTV User Group & NASCAM website may contain links to other websites, which in turn may contain material that has been produced by third parties not affiliated with us. We have no control over those other websites and accept no responsibility or liability for information or content provided on such websites.

Even if data encryption is used, the security of information transmitted via the internet cannot be guaranteed. Any losses incurred or sustained by users who transmit information by electronic means shall be borne solely and exclusively by such user and in no event shall any such losses in whole or in part be borne by us. Force Majeure
Neither party shall be liable to the other for any delay or non-performance of its obligations by reason of matters beyond its control including, but not limited to, any act of terrorism, war, riot, civil commotion, compliance with any law or government order, fire, flood or storm, strikes, or any other industrial dispute, delay in transit, power failure, postal delay, or any event that cannot be reasonably be planned for or avoided. 

Inability to pay is not a Force Majeure.

These Terms and Conditions do not and shall not affect your statutory rights as a consumer.

 

A person who is not party to these Terms shall not have any rights under or in connection with them under the Contracts (Rights of Third Parties) Act.

Variations to this agreement 
CCTV User Group Ltd. / NASCAM may change these terms and conditions at any time.

If CCTV User Group Ltd. privacy policies change, CCTV User Group Ltd. will notify its members and subscribers by e-mail or a special announcement placed on our website.

Queries, complaints, comments 
We will endeavour to respond within 48 hours to any complaint or query received. This may be an acknowledgement that we have received a complaint whilst further investigations are carried out. If you have any queries, comments or complaints about products and services please contact us via the link on the website

If you believe that any of the information CCTV User Group Ltd. holds about you is incorrect or out of date, please log in and edit your information, and if the data is not editable, forward the accurate information to us via email.

If members wish to obtain a copy of their personal data held by CCTV User Group & NASCAM, then please write to us requesting it. You may be asked to provide proof of your identity and for any further information that might help CCTV User Group & NASCAM to locate the data you are seeking.

Event Bookings - Terms and Conditions

This applies to both delegates and exhibitors

A contract shall be deemed to have been made between the CCTV User Group ("the CCTV User Group Ltd") and the booking client ("delegate" or "exhibitor') when the delegate or exhibitor has confirmed their requirements via email, vocally, via the CCTV User Group website or event registration form and the CCTV User Group has accepted this booking – a booking confirmation email being proof of such acceptance, the client purchaser is liable for full payment of the delegate/s and any stand/s fees.

Bookings do not automatically guarantee confirmation of a place at the event. The CCTV User Group will confirm all bookings in writing. Places cannot be fully reserved without full payment having been received to to any event commencing. All bookings are made on a first-come, first-served basis. The CCTV User Group reserves the right, at its discretion, to refuse any bookings.

We reserve the right to amend, otherwise change or cancel any booking or event at any time without prior notice. Any changes or cancellations will be communicated to all those who may have made a booking, at the earliest possible opportunity.

Stand Sharing
Unauthorised stand sharing has taken place in the past and we received complaints from other exhibitors about it. Therefore, sharing of exhibitor stands with another organisation or representative of another organisation, is prohibited.

Where a vacant stand is available, instead of sharing, exhibitors will be encouraged to book their own stand.  

Where a collaboration between exhibitors publicly exists, every effort will be made to co-locate partners on adjacent stands. As a general rule, stand sharing is prohibited without the prior written consent from the CCTV User Group/ event organisers well in advance of the event taking place (in practice, at least two weeks).

Payments
Payment is required on "Receipt of Invoice". 
Full payment must be received prior to attendance at an event.
Invoices will be sent shortly after either booking or the completion of stand booking registration and our receipt of your Purchase Order Number/ order.

If payment is made via a credit card, our website will send a credit card receipt to you shortly after the transaction. 
 
Substitutions
If for any reason, the registered delegate is unable to attend the event, a substitute delegate may attend providing prior notice is given at least 7 days in advance of the event.

Cancellation
A delegate may cancel their attendance at an event providing notice is given in accordance with the cancellation conditions below.


If unforeseen circumstances cause The CCTV User Group Ltd. to cancel an event, all delegates will be informed as soon as possible, and any registration fees already paid will be credited.​

Cancellations by you must be received in writing (via email or post) in advance of the event based on the following pre-event dates: 

A). 6+ weeks notice: Full refund
B). 5-6 weeks notice: 60% refund
C). 4-5 weeks notice: 40% refund
D). 0-4 weeks notice: No refund
E). Failure to attend: No refund

How to notify us of "Delegate Cancellations and Substitutions"
There is no amendment charge to change the delegate attending or cancelling their attendance at one of our events (providing it is done in accordance with the above). To do so, please email bookings@cctvusergroup.com quoting the booking reference number in the subject field.
 
Special Requirements
Please indicate on the registration form or email us if there are any special dietary and/or access /special requirements for the delegates attending. We will endeavour to accommodate all requests where possible. Please contact us to discuss any issues directly on 07831 715401.
 
Event Alterations
The CCTV User Group Ltd. reserves the right to alter the dates, location or programme without notice including the substitution, alteration or cancellation of speakers and/or topics and/or the alteration of the dates & times of the event up until one day prior to the event. The CCTV User Group Ltd is not responsible for any loss or damage as a result of substitution, alteration, postponement or cancellation of an event.

In the event that The CCTV User Group Ltd. cancels an event or part of it for any reason within their control, you will receive a credit. You may use this credit for another The CCTV User Group Ltd event to be mutually agreed with The CCTV User Group Ltd, this event will normally occur within one year from the date of alteration.

 
Miscellaneous:
The delegate agrees to hold The CCTV User Group Ltd. harmless for any injury or death that may occur at the event. The CCTV User Group Ltd is not responsible for the behaviour of the delegates while at the event/symposium and is also not accountable for any costs, damages and/or expenses connected with the delegate’s transportation to/from the event or anything relating to third-party services in connection with these and reserves the right to remove, cancel or postpone any delegate attendance preceding, prior to or during the event.

Vacating Your Hotel Room

In the event that the Customer (event delegate) vacates their bedroom at the end of their stay and leaves the room requiring either a deep clean or for it to be taken out of service due to vomit or being soiled, the Customer (event delegate) agrees to pay to Whittlebury Hall Hotel the sum of £100 in respect of the cleaning costs, and that this charge will be applied to their check-out balance.
